11 Wedding Planning Tips for Couples Affected by COVID-19, According to Two Top Planners

Planning a wedding takes time and energy, even in the best of times. For couples with already-scheduled 2020 wedding dates, the planning process has never been trickier. Dates have to be postponed, vendor contracts renegotiated, and guest lists rethought. Even recently engaged couples are facing new obstacles, as next year’s available dates are quickly disappearing.

Luckily, top event planners are accustomed to thinking creatively and coming up with new solutions on the spot. With that in mind, Sonal J. Shah of Sonal J. Shah Event Consultants and Lauren Grech of LLG Events hosted a virtual Q&A for brides struggling with questions on social distancing, safety precautions, and other COVID-19-related scenarios.

Sonal shares, “We wanted to put this together as a service for couples.” During the call, Sonal and Lauren fielded questions from several brides-to-be — offering their hard-earned insight, expertise, and creative problem-solving.

Sonal ends the Q & A with words worth remembering: “Even under the current climate, I always focus on the fact that this is a very happy occasion for you — and for your families.” She acknowledges, “This is a day couples have been looking forward to for so long,” and urges couples to “continue planning the wedding of your dreams!”

Lauren Grech is the founder and CEO of LLG Events, an international event management and design firm. Her company plans and designs weddings and experiential events both in New York City and around the world. She was recently listed on HSMAI’s “Top 25 Extraordinary Minds 2020” list. She also builds curriculum for the first-ever event management graduate program at New York University.

1. How do you recommend setting up a timeline, and what do you think I should do first in the planning process during this time? 

SJS: I think that the first thing you should do is sit down with your fiancé and parents and make three guest lists. Guest list A includes the people who you are 1000% sure will be there. Guest list B includes people who have a 50/50 chance of making the list, and guest list C is for the people who you don’t personally know, but may still be included [because of their connection to your family.

After that, it’s time to start calling venues. Of course, a lot of people are furloughed right now, so it’s a really good idea to have an exact breakdown of the event and number of people you intend to invite.

I also think that it’s important to be open-minded when it comes to dates. Lauren will attest to this as well. Right now you are really competing with everybody in 2020 that’s trying to reschedule to 2021. And then all the couples who had already planned to get married in 2021, and their dates. Everybody is grabbing the same Saturdays, so it’s really important to kind of get started on that right away. 

LG: That was perfect. After you figure out your guest list, I would invest in finding your ideal venue and seeing what dates they have available in 2021 — or 2022.

2. What questions should I ask a wedding planner before hiring them?

SJS: I think that it’s really important that you ask someone how many years they’ve been in business. A wedding planner needs to have a certain level of experience. Make sure they are accredited. Ask them how many weddings they have planned at your specific venue and whether they have insurance. You want to make sure that they have the resources to be around next year when your wedding date arrives. 

I also think it’s really important that you meet with your potential wedding planner. And now it can all be done through Zoom or FaceTime. Face-to-face connection is still really important. 

LG: Ask for a list of references. I have on file a PDF of all my clients that have given, obviously exceptional, reviews. When someone asks for references, I send those over.

3. Do you feel it’s right to still have a small ceremony this year, and then celebrate our one-year anniversary with a vow renewal next year?

LG: I think that a lot of clients are actually leaning towards that. I think that you shouldn’t lose out on your original date if that’s something that you had your heart set on. Go ahead and still get married, or still have a symbolic ceremony, and then next year you can party hard and have a really great time with your friends and family, and feel safe about it.

SJS: I’d agree with that Lauren. Finding someone, falling in love, getting proposed to, and planning this whole union is such a special thing that I don’t think that we should just delay it for next year. If there’s a way that you’re able to do it this year, then your anniversary is still gonna be the same. I think that would be really meaningful and special.

4. With my wedding planning already completed, and now having to basically start all over again, what’s the best way to stay organized?

SJS: Since your planning is 95% done, I think it’s just a matter of calling your vendors and making sure that they’re available next year, for whatever dates you’re considering. And I’m pretty sure that if you ask them, they would probably help without a fee if they are able to and then still uphold your contract for next year.

I’ve been telling our clients, “Don’t change your mind about things just because you have time between now and next year.” There’s a reason why you picked these vendors and there’s a reason why you went with this décor. I think it’s really important that you stay focused on what was already decided. 

LG: Set milestones for yourself. So, on a monthly basis, you touch base with one vendor and then another. Like Sonal said, you have 95% of your wedding done already, so there might not be a lot of necessary information to discuss. 

If you have to reschedule, you can also create a Doodle on Doodle.com. It’s a way for you to input all the dates that your venue is available and then you put all of your vendors on the left-hand side of it. Then you can share it with all your vendors and they can select when they are available for the rescheduled or postponed dates. So, now you have one centralized system that can show you all of the vendors that are available that coincide with the venue date as well. It can make it a little bit easier for you, as opposed to going back and forth and having all these scheduling conversations.

5. Due to new government restrictions on social gatherings, what’s the polite way to tell somebody that they’re no longer invited, because we did send save-the-dates to them.

SJS: Although it’s a very sensitive topic, I think that a lot of people really understand why you have to make these choices. It goes back to having that guest list A, B, and C. The Bs and the Cs kind of get slashed off the list. And just see what happens and how your RSVPs kind of pan out too.

LG: I think the polite way to go about that is to send, obviously, your invitations to those that you really want to have invited and then you can send a card to the people that you would like to invite virtually, and this way you could say to them, “We want to protect our guests, so we cordially invite you to watch our wedding virtually.” And this way those people that did receive save-the-dates feel like they’re a part of your event.

6. My vendors say it’s still too early to reschedule my future date. What is the right timeline for rescheduling? Is there such a thing as asking too early at this point?

SJS: For some of our August clients, we’re not formally rescheduling anything, but we just told the venue, “Hey what do you have available? And if they say that they have every weekend in August available next year, we ask them to please put a soft hold on those dates for our client.

I would start with your venue first, then go to all your major vendors. That’s what we did with our April bride that we had to reschedule and there was one date that worked for every single vendor, like okay we have to go to this date and it all worked out. But I don’t think it’s too early to ask. I think the disclaimer, “I’m not actually moving anything just yet, I just want to be able to have the information,” works well.

7. Because my wedding was in August, I was waiting for my clothes to come from India. They are at a halt there. Should I just start looking into my alternative options of buying off the rack?

SJS: That’s a really good question that we’ve been asked by a few of our brides. For August weddings, our company is waiting until June to decide whether to move forward with things or not. By June, you will still have that two-month buffer to be able to figure it out. I also think that there’s nothing wrong with emailing the company to ask, “If you’re not up and running by the last week of May, are you still going to be able to deliver on time? 

Also, I’m always of the mindset that there should be a Plan B. So I would have a plan B when it comes to your outfits and invitations. At least that way, if you need to move away from this vendor and go to this vendor because of X, Y, or Z reasons, you at least have a plan.

8. We’re now looking at January dates. Are we making a mistake of planning for January; should we be planning further out?

SJS: We have weddings scheduled in October and November that people are not moving yet, so I think January is still okay. For new clients, we are trying to find alternative dates because a lot of properties are not even open now. Because of that, if you’re open to other later months, that’s fine too. It will give you enough time to be able to plan and create your guest list knowing that people will be comfortable to travel.

9. What kind of negotiations are you doing with venues in terms of flexibility, in the event that there’s a second peak for COVID-19 this coming winter?

Sonal: That’s a really great question. For us, I think it’s really important that these contracts have something about COVID-19 and the option to move the date twice. Most venues we found are really flexible under the circumstances. They understand that nobody knows what’s happening, and clients still need to have the flexibility to move their date. 

LG: I’m sure this is a question not just for venues but for vendors as well, so I want to just piggyback off of that and say that for anyone that’s rehiring vendors or having one postponement, you should definitely renegotiate into your contract at least one additional postponement. While some vendors may decide to charge you a fee to postpone, most are very understanding. I mean, they don’t want people to just up and cancel their events.

10. My wedding was supposed to be Memorial Day weekend of this year, and we have rescheduled for November of this year. But we had already sent out our invitations. Considering that there is a possibility that we might have to postpone the wedding again, what are your thoughts on email invitations?. Maybe even getting the people who designed our invitations to do a digital copy of it and just changing the date?

LG: I would consider doing the digital copy of your invitation, so that it’s easily transferable to your new date if you do need to double postpone. I would not recommend paying for production and printing of a secondary invite. Talk to your stationer and see if they can print you a beautiful invitation that has your new date, so you can have a Keepsake for you or your family. This way you also have something to photograph that pertains to your actual wedding date. 

SJS: People have already seen these beautiful invitations, and they understand why you selected that invitation. I think that a digital version of that would be great. But, I agree with Lauren, we just really don’t know what’s going to happen between now and even November. So, if you need to postpone it again, heaven forbid, then you’re not reprinting all these invites all the time.

11. When it comes to making my guest count smaller for potential government restrictions, do you suggest decreasing by half, a quarter? Because I would say my immediate family is about 120 people.

LG: Right now, I would recommend not having the larger guest count, just because we don’t know what the house restrictions are going to be at these venues. But you could also go with trying to find a larger venue. This way you can space out the tables more or have guests spread out over more tables. These are things that we need to start considering, since there will be health restrictions and health measures in place in the immediate future.

SJS: I think that this is a really good conversation for you to have with parents and your fiancé too. Obviously, you have to invite a certain number of people because, like you said, they’re all family. But I think in the last two years, guest lists have not been picking up the way that a lot of our clients think they will. There will be the odd wedding where all 550 people come. But, typically with airline travel, schools, and expenses for a family of four, many guests would rather just send something. And right now, it’s a lot for people to consider travelling for weddings. With that in mind, we’ve been recommending that a lot of our clients put lower numbers on their actual contract with venues. If there’s more people that come, no big deal. If there’s fewer people than what you have on your contract, then you’re on the hook [financially] for those people.

COVID-19 Couldn’t Stop This Nurse and Restaurant Owner from Celebrating Their 1-Year Anniversary in Style

Samantha Palmieri knew that she wanted her one-year wedding anniversary to be special. Like many newlyweds, she and her husband Frank had plans to go out for a nice dinner. After that, they intended to stay the night at Hotel Monaco, the same hotel where they had spent their wedding night. There was the usual excitement and anticipation — with happy thoughts of finally indulging in the top tier of wedding cake and reminiscing about all of the meaningful moments from their wedding reception, like dancing in each other’s arms as EastCoast Entertainment’s band Blue Label lured guests onto the dance floor.

And then, everything changed. 

On March 21, 2020, as more COVID-19 cases spread across the country, New Jersey Governor Phil Murphy ordered all residents to shelter in place. As Samantha and Frank’s anniversary date of April 13th began to approach, they were forced to join millions of other Americans in adapting to a new way of life.

Because Samantha is a nurse at Cooper University Hospital, she was increasingly at risk for infection — especially once her floor was converted to COVID-19 ICU. With that in mind, Samantha and Frank decided that it would soon be safer to shelter in place separately. “Aside from the fact that now I’m working hands-on with patients who have tested positive for COVID-19 every day,” Samantha shares, “Frank is immunocompromised, and I just couldn’t take the risk.” 

Moreover, as Frank was preparing to open his seasonal restaurant Ike’s Famous Crabcakes for takeout and delivery, he needed to take extra precautions to ensure the safety of his staff and customers. Samantha tells us, “I knew once that opened then that would be even more of a reason to distance for the safety of him, and others.”  

With a temporary separation pending, Samantha and Frank were more determined than ever to have a meaningful anniversary celebration. “Obviously, plans had to change,” Samantha says. “I still wanted to do something special, but had no idea what to do.” And then a light bulb went off. 

Samantha texted Laura Nikolich, a friend and entertainment consultant for EastCoast Entertainment, to see if she could get the set list from her wedding night. Laura then reached out to Jefe Ebbert, the band leader of Blue Label. “He emailed me within a day,” Samantha tells us. “He was actually on a walk with his family but sent me over an abbreviated list just to get it to me, then later that day resent the full set. It meant a lot that they felt it was a priority and responded so quickly.” Once she heard from Jefe, Samantha began to make a Spotify playlist to surprise Frank. 

On the day of their one-year wedding anniversary, Samantha and Frank woke up and enjoyed breakfast with mimosas in their wedding-day Champagne flutes. They watched their wedding video by KarmaPants and looked through their wedding photography by Joy Masi. Later, they took a drive by Front & Palmer, their wedding site and reception venue.

“We came home and got ready for dinner,” Samantha says. As she put on her wedding dress, she says she felt like she was getting ready for her first date. “I had butterflies!” she tells us. “We opened a special bottle of wine and ate a delicious dinner from a local Italian spot in Haddonfield: Tre Famiglia.” And then, after slicing into that top tier of wedding cake, Samantha surprised Frank with the Spotify list. From that moment onward, they danced the night away.

Samantha tells us, “Honestly, I wouldn’t change one thing from the day. Sure, I was looking forward to going out and celebrating, but there will be plenty of anniversaries in the future for that. Our first anniversary was unique, and we will alway remember how we made it special. I am so grateful that we were able to spend it together.”

A lot has changed since Samantha and Frank’s wedding anniversary on April 13. Laura, of EastCoast Entertainment, says that for them, it’s a time of long hours and organization. “We are putting a great deal of time and effort into rescheduling events that would be happening right now and are working hard to balance the time put into these reschedules with helping new potential clients as well.” Additionally, agencies like EastCoast Entertainment are helping new clients virtually pick their bands with live videos, reviews, and references. Laura adds, “For all clients, I try to be available as much as possible and offer to talk at any time of day. I have clients on the front lines working 24-hour shifts, clients that are homeschooling their children, and clients that may be caring for a loved one. Some only have the option of talking at either 6am or 10pm. If I can make it work, I’ll take the call.”

For now, Samantha and Frank are staying in separate bedrooms and using different bathrooms. Once Frank’s restaurant opens up full-time, he will be staying somewhere else altogether. “We had to make decisions that we felt were best for us,” Samantha says, “and that might not be the same for other people — and that’s okay.” 

Samantha goes on to say, “Life will continue to change, just as it is changing for everyone — and it will get hard (as if it hasn’t been already), but I try to remember that there are brighter days ahead.” Samantha is grateful for all the times she and Frank have had together and will have again in the future. As she reminds us, smiling, “In sickness and in health… and I’d prefer the latter.”

A Race Down the Aisle — and a Party Postponed: Two Couples Chose to Exchange Vows, But Postpone Their Wedding Receptions

Weddings, like Rome, aren’t built in a day. As couples eagerly await what may be the most exciting day of their lives, they spend months finding the perfect venue and selecting a talented team of event professionals. Décor and entertainment are chosen. Guests are invited.  

For many couples this year, those plans came to an abrupt end as COVID-19 spread across the world. We spoke with two couples who made the difficult choice to go through with a last-minute marriage ceremony — while postponing their celebrations to a later date. 

Their stories inspire us to stay hopeful during these uncertain times — and never lose sight of the love and beauty in our lives. We know this time will pass, and friends and family will eventually reunite with an even greater understanding of what it means to celebrate life’s milestones together. We can’t wait to watch these two inspiring couples find a new (and just as meaningful) way to celebrate their love.

An Ever-Changing Plan

Madeline Fauntleroy and David Dougherty

Madeline and David are no strangers to the event industry. Madeline is the Assistant Director of Banquets at Pier Sixty, The Lighthouse, and Current at Chelsea Piers. David is the Director of Operations and Services at Cipriani Wall Street and Cipriani South Street. With the help of their own expertise, along with an impressive group of top-notch event professionals, they were planning on hosting their wedding on March 21, 2020 at The Lighthouse at Chelsea Piers.

By early March, however, reports of COVID-19 were surfacing across the country. Soon after, WHO declared an outbreak of the pandemic. By Thursday, March 12, Madeline and David knew their wedding plans would have to be altered. “We were determined to get married,” they told us, “so the following six days were spent changing our plans every 12 hours based on new, available information.” 

At that point, they decided to host a smaller 40-person ceremony at The Lighthouse, followed by dinner at a nearby restaurant. When restaurants began to shut down in New York City, they formed a new plan. They coordinated with one of the hotels from their room block and arranged to use the rooftop suite for an even more intimate ceremony and post party. “Then the hotel closed down, so we found a place in the Hudson River Park for a ceremony, followed by a post party at our apartment.” As gathering restrictions became limited to 10 people, they again modified their plan and limited their guest list even further.

Jenna and Michael Blaustein eagerly awaited their April 4th wedding day, the anticipation building as the date drew closer. Then, in March, everything began to change.

“Three weeks prior to our April 4th wedding date,” they tell us, “we reached out to friends and family to let them know that we would understand if they chose not to attend the celebration.” At that point, they assumed that they might lose half of their guest list. Still, they planned to go on with the wedding at The National Arts Club. 

Things in New York began to change rapidly as requests for social distancing were taking effect. “We considered moving the wedding up to March 22 and having a more intimate ceremony. In an effort to prepare, we got our marriage licence March 9th, thinking the City Clerk’s office could close down soon.”

As everyone was trying to adapt to this new way of life, Jenna and Michael tried to find a way to balance having the wedding with the safety of their guests. “It soon became clear, however, that there was no way to achieve that compromise. We didn’t want to have a party and put our parents or friends in danger.”

A Game-Time Decision

On Wednesday, March 18, rumors began to spread online that New York would soon issue a shelter-in-place order. “That concerned us,” they shared, “so we called a new officiant we’d found (our other one had canceled) and asked if she was available any time that very day. She told us 11am.” 

By that point, it was around 9am. They quickly got ready and called some friends who lived in their building, along with two of Madeline’s three brothers. They had an impromptu ceremony on their rooftop, followed by a small party in their apartment. A friend recorded the ceremony on a cell phone and another took photos so Madeline and David could share the day with their parents. While their parents were sad that they couldn’t be there, they understood, “It was about the two of us and the two of us being married. They were supportive all the way through.” 

Two days later, Governor Andrew Cuomo issued the “New York State on PAUSE” plan which banned all non-essential gatherings. Under these new restrictions, and isolated from their friends and family, Madeline and David quarantine as a newly married couple. They reflected “on the amazing day as well as all the invaluable lessons we learned from the experience. We feel immensely grateful!”

On Sunday, March 15, Jenna and Michael decided to get married the next day at Temple Beth Abraham in Tarrytown, Jenna’s childhood temple. “While many people we know were postponing their weddings, it was important to us to go ahead and be married.”

Jenna’s makeup artist Natalia Carrasco rushed over and did Jenna’s makeup before the ceremony. Luckily, Vera Wang had prioritized getting Jenna her dress before they closed their shops to the public. Their photographer from Susan Shek Photography accompanied them to their temple, along with close family and two friends.

Through their temple’s live-streaming system, over 30 friends and family members were able to watch the wedding ceremony as it took place. Afterward, the phone calls and emails came pouring in. “In the end,” they share, “we ended up spending so much quality time with our guests.”

After the ceremony, Jenna and Michael went to their parents’ home for dinner — since by that time, restaurants were closed to the public. “It was a really sweet dinner and brought us back to the basics of what’s really important, like family and our love for each other.”

Thinking Toward the Future

Madeline and David had already paid their wedding vendors by the time plans began to shift. Despite that, their vendors have graciously agreed to postpone the celebration until October 11, 2020. Their wedding planner Kait McGlynn of Jes Gordon and their florist Forever in Bloom have gone above and beyond in supporting them during this time and figuring out the next step. Although Madeline and David are still deciding what this new celebration will look like, they are confident knowing that they have such a fantastic team of professionals behind them. 

Although their guest list may be smaller than originally anticipated, and the flowers will inevitably have to change with the new season, they will still throw a reception at The Lighthouse at Chelsea Pier. Guests will still enjoy delicious cuisine by Abigail Kirsch Catering and dance the night away with Hank Lane Music. The reception space will still feature beautiful details by Nuage Designs and Party Rental Ltd. And André Maier Photography will still capture the beautiful moments throughout the celebration, as originally intended.

Madeline and David tell us, “It’s so hard to know exactly what to do.” But for them, it was important to keep their “eye on the prize.”

“The situation has given us so much perspective. We got to get married at the end of the day, and that is what a wedding is all about.”

Come October, friends and family will get to partake in that joy. And Madeline and David will finally get to share their newfound joy with the people that matter most.

For now, as things continue to change daily, their future plans are still up in the air. According to Jenna and Michael, “The National Arts Clubs has been absolutely amazing to work with and have gone above and beyond. They’ve let us know that we can choose to reschedule our rehearsal dinner or do something more intimate at a later date.” 

Jenna and Michael know that whatever they eventually decide to do — be it a wedding, vow renewal, or more intimate ceremony — the day will look different from their original intentions. And that’s okay with them.

Everything about this Star Wars-themed wedding had us feeling the love. The sweetheart table boasted a Darth Vader and Stormtrooper helmet (in addition to lavish crimson florals). The bride’s lightsaber bouquet, along with the geode wedding cake (complete with Star Wars-figure cake toppers), had our hearts beating at “lightspeed.”  On-theme catering and an imaginative photo op for the bride and groom were a few of the additional details that made this wedding a four-star experience.

Duel to the Death Love

Orlando, FL

For Star Wars’ lovers, a lightsaber duel is just as romantic as that first dance. This bride and groom made their fairytale (or sci fi) wedding come true with gorgeous starlit backdrops, planetary centerpieces, and plenty of candlelight. Lightsaber props made for a perfect late night photo op. While this “elegant weapon for a more civilized age” might conjure scenes of incoming blaster bolts, we can’t help thinking of breathtaking weddings and true love.

Sign Your Name Among the Stars 

Denton, TX

This rustic wedding won us over with its Star Wars details. Cocktail napkins featured Yoda’s most inspirational quote, “Do or do not do; there is no try,” motivating us to head to the bar area. We certainly did not mind the nod to Tolkien, either. We especially love how the wedding guest book took an unexpected turn with a Millenium Falcon puzzle board. We’d readily traverse the cosmos looking for love like this.

Held Hostage to Love

Santa Barbara, CA

Flanked by stormtroopers, this bride and groom were happily held hostage at the marriage altar — with no escape in sight. Other on-theme ceremony details included lightsaber bouquets for the bride and bridesmaids, along with a welcome sign in the style of the Star Wars’ opening crawl. After exchanging vows, these star-crossed lovers continued the celebration with a Star Wars-themed wedding reception. Table centerpieces featured glass-orb terrariums boasting (no, not plants) Star Wars action figures. And while no actual Sith were on hand to seduce guests toward the Dark Side, signature cocktails with names like Endor and The Force tempted guests to party all night long.

7 Non-Traditional Wedding Trends You’ll See in 2020, From the Experts at YSD Events

We recently had the opportunity to speak with Brad Frey and Justin Scalzo, founders of YSD Events — an event planning firm located in South Florida and New York, but operating worldwide —  about what trends they’re seeing (and setting) in modern weddings. The duo’s rich experience in both the fashion industry and producing meaningful, glamorous celebrations perfectly positions them to tell us what’s on the horizon for events in 2020 and beyond. 

1) Guests don’t just attend weddings — they experience them.

Destination weddings have been hot for a long time, but the YSD team says that the new trend is experiential weddings. Whereas a traditional destination celebration might feature lots of gatherings around meals and laid-back beach time, Scalzo says, “Now, everyone is looking for an experience that will have a lifelong impact on their guests.”

For example, the YSD duo has been planning a December 2020 wedding celebration to include a safari jaunt by private jet to South Africa. “In getting to know our clients, we learned about their dream of going on a luxury safari and immediately thought that this could be the most fabulous experience to incorporate into their wedding” says Frey. He adds that the unique four-day event will take friends, family, and the animal-loving couple “on daily safaris and will include an evening of traditional South African music, as well as international DJs and bands flown in from around the world.” The New Year’s Eve celebration will also feature a tented wedding ceremony in the bush. It seems that non-traditional weddings have become, well… the tradition.

2) Rehearsal dinners have been replaced by offbeat night-before gatherings.

“People are really pushing away from the traditional rehearsal dinner,” says Frey. Rather than a large dinner that includes everyone who has traveled for the celebration, Frey and Scalzo note that couples are opting for more intimate dinners with just their immediate families and wedding party, followed by an after-dinner experience for the larger group.

Scalzo says, “For example, we recently planned a small intimate welcome dinner party cruise on Ted Turner’s yacht for only 20 guests, followed by a full blown cocktail party at the Breakers Palm Beach for all guests who made the trip.” Basically, adds Scalzo, “Couples want to do the opposite of what their parents did, and they’re all trying to do something memorable and different.”

3) More couples are opting for creative, often international, entertainment.

Here, Scalzo and Frey note dual trends: couples are spending more money on weddings and have become more well-traveled. This means that couples have more eclectic entertainment tastes and the budgets to indulge them. For these couples, YSD offers diverse, international options. Scalzo says, “For example, an Indian couple may not want a traditional sangeet, so we might fly in a DJ from Europe.”

In addition to musical options, Frey adds that they work with agents to book entertainers and comedians (Trump impersonators are still going strong) and collaborate with non-wedding specific performing arts companies to create unusual and unexpected experiences for wedding guests.  In fact, YSD Events recently produced a wedding at Biltmore Hotel Miami Coral Gables that included a live ballet ceremony opener that was a total surprise (only the bride knew that the ballet would take place).  

Frey says, “In addition to creating a memorable moment, guests love a non-traditional element.  We recently had a camel adorned with a fresh flower garland make a cameo which created a fun photo opportunity for guests arriving to a wedding ceremony. ”

4) Couples are skipping the traditional clergy officiants.

Increasingly, couples are wanting to make their celebrations more about themselves. “They’re moving away from traditional clergy as officiants and instead choosing personal friends or family members to perform their wedding ceremonies, infusing more personal meaning into the affair,” says Frey. He notes that even Catholic clients are opting out of churches and getting married at beautiful venues or even getting married privately with an intimate group, then having a larger ceremony with friends and family (a trend we just saw with Justin & Hailey Bieber’s more public nuptials following their private vows).

5) Welcome gifts are out, while experiences that create community are in.

Rather than gifting out-of-town guests with baskets or bags of logoed merchandise, couples are planning more opportunities for interaction. “Eighty percent of our clients are not based in Florida, and they want a whole weekend experience and time to be with their family and friends,” says Scalzo. “People are hiring us because we aren’t following the rules — our philosophy is that there are no rules anymore.”

Some examples of non-traditional wedding-related day-after events that the team has planned include a spa day at The Breakers Palm Beach to include massages and facials for guests, and a day of active water sports and lounging in beach cabanas. “People don’t want to sit in a ballroom and have lunch on a beautiful Florida day,” says Scalzo. “Traditional brunch is going out the door.”

One bride was getting married on her birthday weekend, so instead of a night-before dinner, she wanted an elaborate birthday party. “Another client loved bossa nova music so we arranged for a Brazilian singer to sing live as she wandered down the aisle before the ceremony procession began.  This ceremony was outdoors overlooking the ocean and everything came together that day including the late afternoon light, the crystal blue sea and sky, and the sultry sounds of the singer to create the most magical moment. We tell our clients that they don’t have to do what anyone else does.”

6) Creative cuisine options that “cater” to food preferences and restrictions.

Gluten-free, vegan, vegetarian, pescatarian, lactose-intolerant — when you get any group together, there are bound to be dietary restrictions to account for. “We are seeing a trend toward more creative, plant-based food,” the duo shares. “The option of meatless meals has become the norm, with vegan dinner stations at the reception and requests for Impossible burgers at after parties.”

7) And after the party is the after-party.

“For some of our clients, afterparties are almost as intensive to plan as a second wedding. And people are spending more money on the party after the party — and they want a big reveal after the more-traditional reception. When the doors open, it’s a totally different environment and experience,” says Frey. After a recent YSD-planned wedding at The Breakers, the team produced an elaborate after party which included a surprise full hour and a half live performance by Flo Rida and his band.  Guests enjoyed tons of party-perfect bites, professional, concert worthy lighting design, pyrotechnic special effects, and co2 cannon blasts. 

Among the surprises the duo has offered at after parties are cigar bars, martini or tequila bars, laser light shows above the dance floor, and confetti blizzards. “The after party becomes more like a concert.  We recently flew down the lead singers of St. Lucia, our client’s favorite headlining band, who layered their live vocals over a dj set for a recent after party.” says Scalzo. “That was one amazing party and we couldn’t resist joining in on the fun.”  

But some things never change. Scalzo says, “Couples still want their big entrance moment with their bridal party at the reception — it really builds energy and sets the tone for a great night ahead.  Speeches are still very much the tradition, though we recommend the fewer the better so that guests can have more time to hit the dance floor and have fun together – that’s what matters most.” Read more about planning the perfect after-party here.
